SET IT ONCE
Automatic Notifications and Reminders on WhatsApp, SMS and RCS
Fee due dates, appointment reminders, order updates and alerts that go out on time by themselves, so your staff can stop sending them one by one.
QUICK ANSWER
Automatic notifications are messages your business sends without anyone pressing send each time: fee reminders, appointment confirmations, order updates and alerts. Smart Growth AI sends them on WhatsApp, SMS or RCS, triggered by your software through webhook or API, or on a schedule you set. If a message cannot be delivered on one channel, another can be used as a fallback.
01
Nobody has to remember
Reminders go out on the right day and time automatically, whether or not your front desk is busy, on leave or closed for the weekend.
02
Right channel for each message
Use WhatsApp for rich updates, RCS for branded cards and DLT-compliant SMS when a plain, reliable text is all you need.
03
Connected to your own data
Your billing, booking or order software can trigger messages via webhook or API, so details like amount and date are always correct.
Which messages should be automatic?
A simple test: if your staff send the same kind of message more than a few times a week, and only the name, date or amount changes, it should probably be automatic. Common examples:
- Education: fee due reminders, exam schedules, holiday notices, result announcements, admission document reminders
- Healthcare: appointment confirmations, reminders the day before, report-ready alerts, follow-up visit reminders
- Finance: EMI due dates, policy renewal reminders, document pending alerts
- Retail and e-commerce: order confirmed, shipped, out for delivery, payment received
Three ways to trigger a notification
From your software
If you use a school ERP, a clinic booking tool or an order system, it can call our API or a webhook when something happens. "Appointment booked" triggers a confirmation. "Order shipped" triggers a tracking update. The message picks up the right name, time and details from your system.
On a schedule
Some reminders are tied to dates rather than events. You can schedule a fee reminder for the 1st of every month, or a reminder three days before a parent-teacher meeting, to a chosen list.
From a conversation
When a person books something through your WhatsApp chatbot, a confirmation and a later reminder can be set up as part of that same flow. With our dynamic API chatbot, the bot can even check live data, such as the exact fee balance, before sending it.
Picking the channel
Not every notification needs WhatsApp. A good rule:
- WhatsApp when you want buttons, documents, a payment link or the chance for the person to reply
- RCS when you want a branded, verified-sender card in the regular messages app
- SMS when you need a short, plain alert that reaches basic phones too, sent through DLT-registered templates
You can also set a fallback. If a WhatsApp message is not delivered, the same notice can go out by SMS so important alerts still have a good chance of reaching the person.
A worked example: a diagnostic lab
A lab in Bengaluru books home sample collection through its website. When a booking is made, the system sends a WhatsApp confirmation with the date, time slot and preparation instructions. The evening before, a reminder goes out: "Please fast for 10 to 12 hours before your test." When the report is ready, a report-ready alert follows, with a link to download it. If any WhatsApp message fails, an SMS version is sent instead. Nobody at the lab types a single one of these by hand.
Paying the right way
For reminders with money attached, such as fees or EMIs, you can add a Razorpay payment link inside the WhatsApp message. People who are ready to pay can do it in a few taps. See our fee reminders page for how schools and coaching centres set this up.
What you see after sending
Each notification is tracked, so you can see whether it was delivered and, on WhatsApp, whether it was read. If a batch of fee reminders shows many unread messages, that is a sign to try a different time of day or add an SMS fallback. These small checks help you fine-tune timing without guessing.
Keeping it polite
Automatic does not have to mean pushy. Keep reminders short, send at sensible hours, and stop once the action is done. Opt-out requests are honoured across channels, so a person who asks to stop receiving promotional messages does not keep getting them.

FAQ
Questions people ask
Do I need a developer to set up automatic notifications?
Not always. Scheduled reminders to a list can be set up without code. For event-based messages from your own software, someone on your side or your software vendor connects to our API or webhook, and our team helps with the details.
Which channel is best for appointment reminders?
WhatsApp works well because it supports buttons to confirm or reschedule, and people tend to check it often. Many clinics add an SMS fallback so the reminder still reaches people whose WhatsApp message is not delivered.
Can notifications include the exact amount or date?
Yes. Templates have placeholders for details like name, amount, date and time. Your system fills them in when it triggers the message, so each person gets their own correct information without anyone typing it by hand.
Do WhatsApp notifications need template approval?
Yes. Business-initiated WhatsApp messages use templates approved by Meta. Utility messages like confirmations and reminders are usually straightforward to approve. We help you write and submit them during onboarding, and fix any that need changes.
Are SMS notifications DLT compliant?
Yes. Our bulk SMS is sent through DLT-registered headers and templates as required in India. We guide you through registering the headers and templates you need if you have not done so already.
