ONE NUMBER, WHOLE TEAM
A Shared WhatsApp Team Inbox for Every Enquiry
Your counsellors, front desk and sales staff all reply from the same WhatsApp business number, with the full history in front of them.
QUICK ANSWER
A shared WhatsApp team inbox lets several people in your business read and reply to WhatsApp chats from one Official WhatsApp Business API number. With Smart Growth AI, chats from broadcasts, ads and chatbots arrive in one place, team members see the full history before replying, and the chatbot can hand over to a person when a customer needs real help.
01
No more one-phone bottleneck
Chats are not stuck on the one phone kept at reception. Your team works from their own logins on one business number.
02
Context before every reply
Anyone picking up a chat can scroll back to see the ad, the bot's questions and earlier messages before they answer.
03
Bot and humans together
The chatbot handles routine questions, then passes the chat to your team when someone asks for a person or needs help.
The everyday problem it solves
In many offices, the "official WhatsApp" is a phone sitting at the front desk. Whoever is free picks it up. Messages get read and forgotten, two people reply to the same parent with different fee amounts, and on Sunday nobody checks at all. When a staff member leaves, their phone and their chats leave too.
A shared team inbox moves WhatsApp from a single phone to a proper workspace. Your business still has one number, but the conversations belong to the business, not to whichever person is holding the handset.
What your team sees
- All chats in one place, whether they came from a broadcast, a Click-to-WhatsApp ad, a website form or someone messaging you directly
- Full conversation history, including what the chatbot asked and what the person answered
- Media and documents sent by the customer, such as a mark sheet, a prescription or an ID copy
- Templates ready to use when a chat has been quiet for more than 24 hours and a new approved message is needed
How a chat moves through the inbox
Step 1: The chatbot says hello
A new message first meets your chatbot, which can be built automatically with our AI chatbot builder. It answers simple questions like timings, location and fees, and collects basics like name and course.
Step 2: The person asks for help
When someone types "I want to talk to someone" or taps a "Talk to counsellor" button, the chat is handed to your team in the inbox.
Step 3: Your team replies with context
The team member opens the chat, reads what has already been said, and continues naturally. The customer does not have to repeat themselves.
Step 4: The lead is saved
Details and outcomes flow to your Google Sheet or to your CRM via webhook/API, so your follow-up list is always up to date.
Real examples
A multi-speciality hospital can have its appointment desk handle booking chats while the health-package team handles enquiries from a camp promotion, all from one verified number.
An overseas education consultancy can have three counsellors sharing chats during intake season, each able to see what documents a student has already sent.
A loan agency can let the chatbot collect loan type and city first, so the human agent opens each chat already knowing the basics.
Working alongside voice campaigns
When you run the Smart Growth AI Campaign, highly interested people get a WhatsApp template with course videos after a voice call. When they reply, those replies land in the same shared inbox. Hot leads who pressed 1 on the call are connected to live agents straight away, and the WhatsApp follow-up continues in the inbox afterwards. Your team gets one place to work, whichever channel the lead started from.
Small habits that keep the inbox tidy
A shared inbox works best with a few simple team rules. Agree who covers which hours, so evening chats are not left for the next morning. Keep a short set of saved replies for common questions so answers stay consistent. And close the loop: when a parent books a visit or a patient confirms an appointment, note it so the next person who opens the chat knows where things stand.
Why use the Official API for this
A shared inbox depends on the Official WhatsApp Business API. It gives your business a stable, verified sender, approved templates for reaching people after the 24-hour window, and a setup that does not rely on one phone staying charged and connected. If you are still on the WhatsApp Business app, our Official WhatsApp Business API page explains the move, and our team helps you through it during onboarding.
FAQ
Questions people ask
How many team members can use the shared inbox?
The number of users depends on your plan. Most small teams start with a few counsellors or front-desk staff and add more during busy seasons. Check our pricing page or ask us during a demo for the right setup.
Can two people reply to the same customer by mistake?
Because everyone sees the same conversation history, team members can check what has already been said before replying. This avoids the common problem of two people sending different answers from separate phones.
Does the chatbot work inside the shared inbox?
Yes. The chatbot handles the first part of the conversation and collects basic details. When a person asks for help, or the bot cannot answer, the chat moves to your team in the inbox with the full history visible.
Can I use my existing WhatsApp number?
Often yes, but the number has to move from the WhatsApp Business app to the Official API, and its old app chat history does not carry over. We explain the steps and help you decide whether to move it or use a fresh number.
What happens to chats when an employee leaves?
The chats stay with your business number, not with the person. A new team member can open the same conversations and continue, which is one of the main reasons businesses move off a single shared phone.
