APPOINTMENT REMINDERS
Appointment Reminders That Reach Patients on the Channel They Use
Confirm bookings on WhatsApp, remind the day before, call patients who do not read messages, and let them reschedule without phoning your front desk.
QUICK ANSWER
Smart Growth AI sends appointment reminders automatically on WhatsApp, with confirm and reschedule buttons. Patients who do not read the message can get a short voice reminder, and an SMS goes out if WhatsApp and RCS fail. The dynamic API chatbot can pull live slots from your system, so rescheduling happens inside the chat without a call to reception.
01
Fewer phone calls to reception
Patients confirm or reschedule by tapping a button on WhatsApp instead of calling the front desk during busy hours.
02
Voice for patients who don't read
Elderly patients or those who rarely open WhatsApp can get a short recorded voice reminder in your language.
03
Live slots from your system
The dynamic API chatbot checks your booking system in real time and offers only open slots.
Why appointment reminders need more than one channel
Clinics, hospitals and diagnostic labs already know that no-shows cost time and money. A doctor's slot sits empty while another patient waited a week for one. The usual fix is a reminder SMS, but SMS gets lost among bank alerts and offers, and many older patients never read it at all.
A good reminder system uses the channel each patient actually responds to, and makes it easy to confirm or reschedule. Smart Growth AI does this with WhatsApp, voice, RCS and SMS working together, all triggered automatically from your booking data.
How the reminder flow works
When the appointment is booked
Your booking system or form sends the details to us via webhook/API. An Official WhatsApp template goes out at once with the doctor's name, date, time and location, plus buttons for Confirm and Reschedule.
The day before
A reminder template goes out on WhatsApp. If the patient has not opened it after a set time, the system can place a short pre-recorded voice call: "This is a reminder of your appointment tomorrow at 11 am. Press 1 to confirm, press 2 to speak to our reception."
If WhatsApp does not reach them
RCS is attempted next, with a rich card showing the appointment details and a map button. If neither WhatsApp nor RCS is delivered, a DLT-compliant SMS goes out as the final fallback.
On the day
A short morning-of message can include directions, what to bring, or fasting instructions for lab tests.
Rescheduling without a phone call
When a patient taps Reschedule, the dynamic API chatbot calls your appointment system live and shows the next available slots. The patient picks one, the booking updates, and a new confirmation is sent. Your reception staff do not have to be involved unless the patient asks for a person.
If you do not have a booking system with an API, a simpler version works too: the reschedule request lands in your shared WhatsApp team inbox and a staff member replies.
Useful extras for clinics and labs
- Payment links: send a Razorpay link for consultation or test fees ahead of the visit.
- Report ready alerts: notify patients on WhatsApp when lab reports are available.
- Follow-up visits: automatic reminders for review consultations, vaccinations or repeat tests.
- Feedback: a short message after the visit asking how it went.
What you see on your side
Confirmations, reschedules and unreached patients can be written into a Google Sheet or pushed to your hospital or clinic software via webhook/API. Your front desk starts each morning knowing who has confirmed and who needs a personal call.
Patients who ask to stop receiving reminders are unsubscribed on that channel, and the opt-out is respected going forward.
Getting started
A note for multi-doctor hospitals
Larger hospitals often run separate templates per department, so a cardiology reminder can carry different preparation notes from a dental one. Each department can also have its own reception number for press-1 transfers, which keeps calls going to the people who can actually help.
Most clinics start with WhatsApp confirmations and day-before reminders, then add voice and rescheduling once the basics are running. Our team sets up the templates and integration with you, and you can reach a real person on the phone, a dedicated WhatsApp group or a WhatsApp call whenever you need help. FAQ
Questions people ask
Can reminders go out automatically from our booking software?
Yes, if your software can send booking data via webhook or API. Each new booking then triggers a WhatsApp confirmation and scheduled reminders. If it cannot, you can upload a daily sheet of appointments instead.
What if a patient does not use WhatsApp?
The flow falls back to RCS and then SMS. You can also add a short recorded voice reminder, which works well for elderly patients or anyone who rarely reads messages.
Can patients reschedule on WhatsApp?
Yes. With the dynamic API chatbot connected to your booking system, patients see live open slots and choose one inside the chat. Without an API, reschedule requests come to your shared team inbox for staff to handle.
Can the voice reminder be in a regional language?
Yes. You record the clip in whichever language suits your patients, such as Kannada, Hindi, Tamil or English, and can use different clips for different patient lists or branches. WhatsApp templates can be prepared in the same languages.
Is patient information kept to what is needed?
Reminders only need the name, appointment time, doctor and location. We recommend not putting diagnosis or sensitive details in messages, and our team helps you design templates with that in mind.
