FEE REMINDERS

Fee Payment Reminders Parents Can Act On in One Tap

Show the exact fee due, share a payment link, and follow up by voice or SMS for parents who did not see the message. Less chasing for your accounts team.

QUICK ANSWER

Smart Growth AI sends fee reminders on WhatsApp with the student's name, amount due and due date, plus a Razorpay payment link. The dynamic API chatbot can fetch the live balance from your fee system when a parent asks. Parents who do not open WhatsApp get a short voice call, and SMS is the fallback when other channels fail.

01

Exact amount, not a generic notice

Each parent sees their child's fee due and date, fetched from your records, so there is no confusion at the counter.

02

Pay inside the chat

A Razorpay payment link in the WhatsApp message lets parents pay right away, from wherever they are.

03

Polite escalation

A gentle WhatsApp first, then a voice reminder, then SMS. Your staff only call parents who still need help.

Fee collection should not depend on phone calls

In most schools, colleges and coaching institutes, fee reminders still mean a circular, a diary note, a bulk SMS and then days of calls from the accounts office. Parents are busy, messages get buried, and staff end up making the same call three times.

Fee reminders work best when they are personal, specific and easy to act on. That means the parent sees their own child's name and amount, knows the due date, and can pay in the same moment. Smart Growth AI builds this using the Official WhatsApp Business API, with voice and SMS as backup.

The fee reminder sequence

  • Step 1 – Data in. Your fee software sends dues via webhook/API, or your accounts team uploads a sheet with student name, parent mobile, amount and due date.
  • Step 2 – Friendly first reminder. A WhatsApp template goes out about a week before the due date: student name, term, amount due, due date and a Razorpay payment link.
  • Step 3 – Live balance on request. If a parent replies "how much is pending?", the dynamic API chatbot checks your fee system and replies with the current balance, including any part payment already made.
  • Step 4 – Voice reminder for unopened messages. Parents who have not read the WhatsApp message by a set date can receive a short recorded call in your preferred language, with "press 1 to speak to the accounts office".
  • Step 5 – Fallbacks. If WhatsApp is not delivered, RCS is tried. If that fails too, a DLT-compliant SMS with the payment link goes out.
  • Step 6 – Thank-you and receipt. Once payment comes through, a confirmation message goes to the parent and the reminder sequence stops.

Tone matters with parents

A fee reminder is not a debt notice. Most parents intend to pay and simply forgot or were waiting for salary day. We help you write templates that are warm and clear, for example: "Dear parent, this is a reminder that the Term 2 fee of ₹18,500 for Ananya is due on 10 November. You can pay here. Please ignore if already paid." Keeping it polite protects the relationship you have with families for years.

What your accounts team gets

Every reminder sent, read, replied to and paid can be tracked in a Google Sheet or sent back to your fee software via webhook/API. Instead of a long call list, your staff see only the parents who have not responded on any channel, and can call them personally.

Parents who reply with a question, such as asking for an instalment plan, land in the shared WhatsApp team inbox so the right person can answer.

Other notices on the same setup

Once fee reminders are running, the same channels can carry other school communication:

  • Exam timetables and result announcements
  • Holiday and event notices
  • Transport and hostel fee reminders
  • Admission and re-registration reminders for the next year

Instalments and part payments

Many families pay in instalments. Reminders can be set per instalment, and the amount shown always reflects what is actually pending once your fee data is connected. Parents who pay part of the fee simply get the next reminder with the correct balance.

FAQ

Questions people ask

Can each parent see their own child's fee amount?

Yes. Each WhatsApp template is personalised with the student name, amount due and due date from your records. With the dynamic API chatbot connected, parents can also ask for their live balance at any time.

Do we need fee software with an API?

No. If your software supports webhooks or an API, reminders can run automatically. Otherwise your accounts team can upload a sheet of dues, and the reminders go out from that.

How do parents pay from the reminder?

The message includes a Razorpay payment link. Parents tap it, pay by UPI, card or net banking, and receive a confirmation. You will need a Razorpay account, and we help connect it.

What if a parent has already paid?

When payment data is connected, paid parents are removed from the reminder sequence automatically. When working from a sheet, update the sheet before each reminder round. Templates also include a polite note to ignore if already paid.

Can reminders be sent in regional languages?

Yes. WhatsApp templates and voice clips can be in English, Kannada, Hindi or any language your parents prefer, and you can use different versions for different lists, such as by branch or by class.
