RESULT DAY
Exam Result and Counselling Announcements for Students and Parents
Result day is when families need guidance most. Reach them quickly with a counselling offer, collect their scores, and connect them to a counsellor while it still matters.
QUICK ANSWER
Smart Growth AI helps institutes and consultants act fast on result day. A voice call announces your counselling session or support desk to the full list. Interested families get WhatsApp or RCS messages with a form to share their score or rank and preferred course. Submissions land in your sheet, and press-1 callers are connected to a counsellor immediately.
01
Move in hours, not days
Schedule the voice clip and templates in advance, then launch the moment results are declared.
02
Scores collected cleanly
A WhatsApp form captures marks, rank, category and course preference straight into your Google Sheet.
03
Counsellors get the serious ones
Families who pressed 1 or listened fully are flagged, so counsellors call them first.
Result day is short and busy
When board exam, NEET, JEE or entrance results come out, students and parents start making decisions within days. Which college, which branch, whether to repeat a year. Families who get clear guidance early tend to stay with the institute or consultant who gave it.
Smart Growth AI lets you prepare everything before results are announced and then launch across voice, WhatsApp, RCS and SMS as soon as the date is confirmed.
A note on what we send
We do not publish or fetch official board or exam results. This page is about announcing your counselling sessions, help desks and next steps. If you run internal tests, mock exams or scholarship tests, your own results can be shared through the dynamic API chatbot from your system.
How the result-day flow works
Before results: get ready
- Record a 30-second voice clip: congratulations, a free counselling offer, and how to reach you.
- Get WhatsApp templates approved for the counselling invite and the score form.
- Prepare an RCS carousel with college options, past counselling highlights or a short faculty video.
Result day, hour one: voice announcement
The IVR call goes to your student and parent list. Listeners who press 1 are connected to a counsellor straight away. Everyone who answered gets an SMS with your helpline number, so busy parents can call back after checking the result.
Hour two onwards: messages by interest
- Listened 25 seconds or more: a WhatsApp template with counselling details and a Share my score button that opens a form.
- Listened 10 to 25 seconds: an RCS carousel with what the counselling covers and a booking link.
- Listened under 10 seconds: no paid follow-up.
Collecting score and preference
The form asks for student name, parent name, score or rank, category if relevant, preferred course and city. Each entry goes to your Google Sheet. Counsellors can sort by rank or course and prepare before they call.
Counselling slots and reminders
Families pick a counselling slot. Automatic WhatsApp reminders go before the session with a meeting link or your centre's location.
Answering the same questions at scale
On result day, many families ask similar things: cut-offs from last year, documents needed, fee for the next batch. The AI chatbot builder can generate a WhatsApp bot from a description of your institute, which you then edit. Questions it cannot answer move to your team's shared inbox.
Who uses this
NEET and JEE coaching institutes invite students to repeater batches or college counselling. Colleges reach Class 12 students the day board results are declared. Admission consultants offer rank-based guidance for state and national counselling rounds. See the NEET and JEE coaching page for more on that audience.
Linked to the Smart Growth AI Campaign
The announcement is the Smart Growth AI Campaign timed for result day. Voice reaches everyone, and paid WhatsApp and RCS go only to families who showed interest. The AI campaign report shows cost per lead, the best clip and the best template, with every lead in one sheet, including parent name, course interest and city.
Prepare before the date is announced
Templates need approval time, so start early. A week before the expected result date is a sensible target for having the clip, forms and messages ready. Book a demo and we will set up the clip, forms and reminders with you.
FAQ
Questions people ask
Do you send official exam results to students?
No. Smart Growth AI does not publish or fetch official board or entrance results. We help you announce your own counselling sessions and support. If you run internal or mock tests, those results can be shared from your system through the dynamic API chatbot.
How fast can we launch on result day?
If the voice clip, WhatsApp templates and forms are approved in advance, you can launch as soon as results are declared. Template approval can take time, so we recommend setting everything up at least a week before the expected date.
Can we collect students' scores and course preferences?
Yes. A WhatsApp form can ask for score or rank, category, preferred course and city. Every response is saved to a Google Sheet you choose, or sent to your CRM via webhook or API, so counsellors can sort and plan their calls.
What if a parent misses the voice call?
Everyone who answered gets an SMS with your helpline number. Numbers that could not be reached on voice or WhatsApp can be tried on RCS, and then on SMS as a final fallback, subject to consent and telecom rules.
Is this only for NEET and JEE?
No. It works for board results, university entrance tests, scholarship tests and internal exams. Colleges, coaching institutes and admission consultants all use similar flows. Only the clip, templates and form fields change.
