TEAM FOLLOW-UP

Counsellor and Sales Team Follow-up, Organised for You

Your team should spend time talking to interested people, not searching for whom to call. Get leads ranked, alerts sent and follow-ups ready.

QUICK ANSWER

Smart Growth AI organises follow-up for counsellors and sales teams. Every lead from voice, WhatsApp, RCS and forms lands in one Google Sheet or your CRM with an interest level. Agents get notifications with context, approved WhatsApp templates make follow-ups quick, and automatic reminders keep the lead engaged between calls, so interested people are contacted while they still remember you.

01

Start the day with a ranked list

Leads arrive with interest level, listen time and key pressed, so counsellors call the warmest first.

02

Context before every call

Agent notifications show who the lead is and which clip or message they responded to.

03

Follow-ups that do not depend on memory

Templates, brochures and reminders go out on WhatsApp, with RCS and SMS for those not reachable.

Where follow-up usually breaks

Most institutes and sales teams do not lack leads. They lose them in the gap after first contact. A counsellor has 200 names in an Excel file and no idea who is serious. A promised brochure goes out three days late. A lead who said "call me after my exam" is never called. By the time someone remembers, the family has chosen another option.

Smart Growth AI closes that gap by giving your team a clear list, the right context and ready-made follow-ups across channels.

How the follow-up system works

1. Leads arrive already sorted

Whether a lead came from a voice campaign, a WhatsApp reply, an RCS tap, a Meta lead form or your website, it lands in one Google Sheet you choose, or in your CRM via webhook/API. Each record can include name, parent name, mobile, city, course or product interest, listen duration, key pressed and an interest level.

2. The hottest leads get a call immediately

People who press 1 during a voice call are connected to a live counsellor right away. The counsellor also gets an agent notification showing who the person is and which clip they heard.

3. Counsellors work the list by interest

  • Pressed 1 or 2: call back today if the first conversation was cut short.
  • Listened 25 seconds or more: call within a day, after the WhatsApp brochure has reached them.
  • Listened 10 to 25 seconds: nurture with RCS and WhatsApp, call when they reply.
  • Under 10 seconds: no paid follow-up for now.

4. Follow-up messages in a tap

From the shared team inbox, a counsellor can send an approved WhatsApp template: fee structure, course video, scholarship details, or a ""you are selected""-style personalised message with their direct contact. Chats are assigned, so each lead has one owner.

5. Automatic reminders between calls

Set reminders for counselling appointments, campus visits, document submission and fee deadlines. They go out on WhatsApp automatically, with RCS or SMS for people not on WhatsApp.

6. Managers see the whole picture

The AI campaign report shows cost per lead and which clip and template worked better. With all leads in one sheet, a manager can see who has been contacted and who has not, without asking each counsellor.

A typical counsellor day

Morning: open the sheet, filter for yesterday's press-1 and 25-second listeners, and call them. Mid-day: reply to WhatsApp chats in the inbox, sending brochures and payment links where useful. Afternoon: book campus visits or counselling slots through WhatsApp forms. Evening: the system sends reminders for tomorrow's appointments on its own.

Works for sales teams too

The same setup suits loan and insurance advisors, hospital patient coordinators and real estate sales teams. Only the fields change, for example loan amount or treatment interest instead of course.

Connected to the Smart Growth AI Campaign

The Smart Growth AI Campaign feeds this follow-up system. In our campaigns, a setting of 1,000 calls every 10 minutes with 5 live agents is common, and the ranked sheet tells those agents where to spend the rest of the day. You can also retarget engaged leads with Meta ads while counsellors work through the list.

FAQ

Questions people ask

How do counsellors know which leads to call first?

Each lead arrives with details such as listen duration, key pressed and an interest level. Counsellors can filter the Google Sheet or CRM view to call people who pressed 1 or listened 25 seconds or more first, then move to partially interested leads.

Can we use our own CRM instead of Google Sheets?

Yes. Leads can be sent to your CRM via webhook or API, including Zoho, HubSpot, LeadSquared or TeleCRM. Google Sheets integration is free and a good option for teams without a CRM, and you choose which sheet the leads go to.

What do agent notifications contain?

Agents are notified about who they spoke to and which voice clip that person heard. This gives context before a follow-up call, so the counsellor can continue the conversation instead of starting from zero.

Can counsellors send brochures and videos on WhatsApp?

Yes. From the shared team inbox, counsellors can send approved WhatsApp templates with videos, PDFs or course details, and Razorpay payment links for fees. Each chat is assigned to one person, so replies are not duplicated.

Will reminders go out automatically?

Yes. Reminders for counselling slots, campus visits, document deadlines and fee due dates can be scheduled to go out on WhatsApp automatically, with RCS or SMS as fallback for people who are not reachable on WhatsApp.
